1. Who we are

Job Snapper ("we", "us", "our") provides job-sheet, quoting and invoicing software for UK tradespeople. We are the data controller for the personal data you provide when using our website and app at jobsnapper.co.uk. If you have questions about this policy, email us at privacy@jobsnapper.co.uk.

2. What data we collect

We collect only the data needed to run the service:

  • Account data: name, email address, business name, trade type, phone number and address.
  • Profile data: logo, brand colours, document templates, email signature, payment links, bank details (sort code and account number — we store these so they appear on your invoices).
  • Customer data: when you add customers to the app, we store their name, email, phone and address so you can send quotes and invoices.
  • Job data: job descriptions, site addresses, line items, prices, photos and notes you enter.
  • Usage data: how you interact with the app (pages visited, features used) to improve the product.
  • Device/technical data: IP address, browser type and operating system for security and analytics.

3. How we use your data

We use your data to:

  • Provide and maintain the Job Snapper service
  • Send quotes and invoices to your customers on your behalf
  • Send you appointment reminders, payment-chasing emails and system notifications
  • Sync invoice and payment data with Xero if you choose to connect it
  • Improve the app through analytics and bug fixes
  • Comply with legal obligations (e.g. tax, fraud prevention)

4. Legal basis for processing (UK GDPR)

We process personal data under the following lawful bases:

  • Contract: processing is necessary to provide the service you signed up for.
  • Legitimate interests: fraud prevention, analytics and service improvement.
  • Legal obligation: tax and accounting record-keeping.
  • Consent: where explicitly asked (e.g. optional marketing emails).

5. Who we share data with

We do not sell your data. We share it only with:

  • Xero: if you connect your Xero account, we push invoice and customer data to Xero under their terms.
  • AI services: we may send job descriptions to our AI provider to generate content. No customer contact details are included.
  • Email delivery: we use transactional email services to send quotes, invoices and reminders.
  • Cloud hosting: our database and file storage providers (UK/EU data centres).
  • Legal authorities: if required by law or to protect our rights.

6. Data retention

We keep your data for as long as your account is active. If you delete your account, we remove your personal data within 30 days, except where we are legally required to keep it (e.g. tax records for 6 years). Customer data you entered is deleted when you delete the customer record or your account.

7. Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Rectify inaccurate or incomplete data
  • Erasure ("right to be forgotten") — subject to legal retention requirements
  • Restrict or object to processing
  • Data portability — receive your data in a structured format
  • Withdraw consent at any time

8. Cookies

We use essential cookies to keep you logged in and maintain session state. We also use analytics cookies to understand how the app is used. You can manage your cookie preferences at any time via the cookie banner or settings. See our Cookie Policy for full details.

9. Data security

We encrypt data in transit (TLS) and at rest. Access is protected by authentication, row-level security in our database, and role-based permissions. All passwords are hashed. We regularly review our security practices.

10. International transfers

Your data is stored in UK/EU data centres. Some sub-processors (e.g. email delivery, AI services) may operate outside the UK. Where this happens, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs).

11. Children's privacy

Job Snapper is not intended for users under 18. We do not knowingly collect data from children.

12. Complaints

If you believe we have mishandled your data, you have the right to complain to the UK Information Commissioner's Office (ICO).

13. Changes to this policy

We may update this policy from time to time. We will notify you of significant changes by email or through the app. Continued use of Job Snapper after changes constitutes acceptance.
